Introduction
Action Tutoring is committed to protecting the privacy and security of those who fundraise and give to us. In addition, Action Tutoring is committed to maintaining the highest standards with everyone it works with.

Our fundraising and donor privacy policy explains how we collect, use, and protect the personal data of individuals who donate to us. This can include making a direct donation or through third-party platforms. The policy also extends to those who participate in our fundraising events. We are committed to complying with all applicable data protection laws, including the General Data Protection Regulation (GDPR) and the Data Protection Act 2018.

Data protection principles
Action Tutoring will comply with data protection law. This means the personal information we hold about you must be:
- Used lawfully, fairly and in a transparent way.
- Collected only for valid purposes, we have explained to you clearly and will not be used in any way which contradicts these purposes.
- Relevant to the purposes we have told you about and limited to those purposes only.
- Accurate and kept up to date.
- Kept only for such time as is necessary for the purposes we have told you about.
- Kept securely.
What information does Action Tutoring collect and process?
We may collect the following types of personal information:
- For direct personal giving: Name, address, email address, telephone number, Gift Aid declarations and other information you choose to provide.
- For event participation: Name, address, email address, telephone number, event registration details, photographs and videos taken at events (with consent), details of fundraising pages created by participants and other information you choose to provide.
We also gather donations and receive event registrations through several online third-party platforms (e.g., JustGiving). In these circumstances, the data passed to Action Tutoring is dependent on the privacy policy of that platform. You can see Justgiving’s privacy policy on the following here.
In general, we are provided with the name of an individual event organiser, contact details and the amount they have raised. We are generally not provided with details of individual supporters and/or donors. This is unless an individual supporter/donormakes their donation public and shares their details, expressly allowing them to contact us.
Each individual fundraising or giving platform has its own separate agreement with a donor and Action Tutoring. This means it is not possible to be specific to each context.
Why does Action Tutoring process personal data?
We use your personal information for the following purposes:
- Processing donations and issuing receipts.
- Managing event registrations and participation.
- Communicating with you about your donations and events.
- Claiming Gift Aid (where applicable).
- Providing updates on our work and fundraising activities (with your consent).
- Analysing donation and event data to improve our services.
- Complying with legal and regulatory obligations.
- Preventing fraud.
Legal basis for processing
Situations in which we will process your personal information are listed below:
- Legal obligation: Where processing is necessary to comply with a legal obligation (e.g., Gift Aid claims).
- Legitimate interests: Where processing is necessary for our legitimate interests (e.g., sending thank-you messages, analysing donation data). This is provided that your rights and interests are not overridden.
- Consent: Where you have given us explicit consent to process your personal information for a specific purpose (e.g., sending marketing emails).
- Contract: Where the processing is necessary for the performance of a contract (e.g., in certain circumstances where required for event registration).
Sharing your information
We may share your personal information with:
- Third-party payment processors to process donations (e.g. Stripe).
- Third-party event management platforms (e.g., JustGiving).
- Our service providers assist us with fundraising, communications, and data analysis.
- Government agencies or regulatory bodies, when required by law.
- Professional advisors, for example, are needed for auditing or legal advice.
Data security
We implement appropriate technical and organisational measures to protect your personal information from unauthorised access, disclosure, alteration, and destruction.
How long will we keep your data?
We will retain your personal information for as long as necessary to fulfil the purposes for which it was collected. This includes legal , accounting, or reporting requirements.
- Donation data will be kept for the required financial auditing periods.
- Gift aid information will be kept as long as HMRC requires it.
- Event data will be kept for a time period appropriate to the event and any legal requirements.
Why do we retain your data?
To determine the appropriate retention period for personal data, we consider:
- The amount, nature, and sensitivity of the personal data.
- The potential risk of harm from unauthorised use or disclosure of your personal data.
- The purposes for which we process your personal data. This extends to whether we can achieve those purposes through other means, and the applicable legal requirements.
Your rights
An individual is defined as a data subject under data protection legislation, which means they have a number of rights. You can:
- Access and obtain a copy of your data on request (known as a data subject access request).
- Require Action Tutoring to change incorrect or incomplete data.
- Request erasure of your personal information. This enables you to ask Action Tutoring to delete or stop processing your data. For example, this is where the data is no longer necessary for processing purposes.
- Object to the processing of your data where Action Tutoring relies on its legitimate interests as the legal ground for processing.
- Ask Action Tutoring to suspend the processing of your personal data for a period of time if data is inaccurate. This extends to a dispute about its accuracy or the reason for processing it.
