Event Fundraising Terms & Conditions
Registration
- The participant understands that the event is not organised by Action Tutoring, but by a third-party event organiser. It’s the participant’s responsibility to read any terms and conditions issued by the event organiser and comply with these.
- Action Tutoring may need to share the participant’s name and email address with the event organiser and where necessary, with other third parties involved in the administration of the event.
- By signing up for the event, participants confirm that, to the best of their knowledge, they are sufficiently fit and healthy to take part in the event. Anyone unsure of their physical ability to take part in the event must seek medical advice from their doctor prior to registering for the event.
- Participants enter the event at their own risk and Action Tutoring shall not be liable for any injury or loss to persons or their property that might occur as a result of their participation in the event.
- If an injury occurs in the lead up to the event, participants must inform the Action Tutoring Fundraising Coordinator as soon as possible. If participants are injured after the event registration deadline and have not yet fundraised enough to cover the cost of their space, they may be liable to cover the cost.
- Event registration fees are non-refundable if a participant drops out after the registration deadline.
- Where relevant, participants are aware that their place in an event isn’t confirmed until they have completed their registration with the event organisers, and they must complete this step as soon as possible. The Action Tutoring Fundraising Coordinator will trigger this step once they have received the participant’s entry donation.
Communication and Place Revocation:
- Participants should inform the Action Tutoring Fundraising Coordinator as soon as possible if they are unable to take part in the event. Participants must maintain contact with Action Tutoring. Failure to set up a fundraising page, meet interim fundraising milestones, or respond to Action Tutoring communications within 10 working days may result in the forfeiture and reallocation of a participant’s event place.
Fundraising targets
- Participants should set up their fundraising pages within 14 days of their place being confirmed and must use their best endeavours to raise the full fundraising target for the event.
- To ensure progress, participants agree to raise at least 50% of their target 2 weeks prior to event day.
- The final target should be raised within 4 weeks after event day.
- Participants must inform the Action Tutoring Fundraising Coordinator as soon as possible if they are unable to achieve the fundraising target.
- To claim their free Action Tutoring running t-shirt, participants must have raised a minimum of £50 within a month prior to the event’s date. This can be raised via their online fundraising page or through their offline fundraising. Participants must notify the Fundraising Coordinator once they have raised £50 and Action Tutoring will send the free t-shirt.
- All donated monies collected in support of Action Tutoring must be forwarded to the charity or returned to the individual sponsors if it transpires that a participant is unable to participate in the event for any reason. Monies already received by the charity will not be refunded.
General
- Participants must abide by the Codes of Practice issued by the Fundraising Regulator.
- Event participants are classed as “in-aid-of” fundraisers. This means they are asking for money for charitable purposes independently of the charity.
- If Action Tutoring attends the event, photographs may be taken during the activity. Any photos captured will be shared with you by email following the event to obtain your consent prior to being stored or used in Action Tutoring’s social media and marketing materials.
